Parent Council Social Time before Parent Evening

Arrive early for Tuesday’s parent evening to socialize with other parents while also learning a bit about Parent Council.  If you are a parent or guardian, then you are indeed a member of Parent Council! Learn about our committees, which include Library, Yearbook, Food/Wellness, Historian, Green, Community Building, Fundraising, and Makers’ Guild, and how you can participate as a Committee Chair or Member or as a Class Delegate. NOTE: The Parent Evening will start PROMPTLY at 7 pm so if you are one of those people who needs a chance to chat and unwind with other parents before you are ready to digest what our faculty and staff need to share, here’s your chance!

All-School Parent Night

All parents will meet downstairs to discuss topics of general interest then move into the classrooms for your first class parent nights.  Parking on Lexington, Lytle, and Cabrini will be waived for this evening.  Please plan for at least one parent to attend.

Parent Council Meeting

Parent Council meets the 3rd Thursday of almost every month from 7:30 – 9:30 pm. Mark your calendars for our first meeting, to be held Thursday, September 21st from 7:30 – 9:30 pm, at Urban Prairie. All parents are welcome and encouraged to attend. The agenda will be distributed next week and a portion of our time will be spent highlighting the Michaelmas Pageant, including the history/intention and what to expect. We’re altering the way we do Michaelmas, Harvest Fest, and Chili Cook-off this year, combining them all into one big autumn fest and feast. All grade school students will be participating. You won’t want to miss it!!  Check your inbox soon for sign-ups.

First Friday Coffee

Thanks to those able to attend the first Parent Council First Friday Coffee. This year, each First Friday Coffee will be hosted by a different grade. NEW Tardiness Policy

We have a new tardiness policy this year at UPWS.

If a student arrives after 7:55 a.m. when the doors are locked, the driver must accompany the student(s) to the office where they will sign the student(s) in. Tardy slips will be given to student(s) to hand in to their teacher.

Drivers are expected to come sign late students in every time they are late.

Late students disrupt the class and prevent students from receiving important lessons. Please make every effort to get students to school on time.

NEW Visitor Policy

New this year all visitors MUST come into the office to sign in. This includes parents popping in to drop something off or check in with a teacher.

This is per our insurance policy.

We greatly appreciate your cooperation.

Reminder - Allergy Policy

The full policy is here: UPWS Allergy Policy 2017-2018, but for quick reference we do not allow items with peanuts, tree nuts or eggs in pure form (i.e. hard / soft boiled) because we have students and faculty with anaphylactic allergies.  Questions about the Allergy Policy can be directed to administration@urbanprairie.org

Student Health Form Requirements

If you have not already, please submit your child’s health forms to administration@urbanprairie.org or turn them into the front office.

All examination forms are attached or should be available at your child’s doctor office.  If you choose to waive the immunization requirements, the dental exam and/or the eye exam for clinical or religious reasons, the waiver must be signed annually in accordance with state law and submitted to the school.  All forms can be submitted to Administration in hard copy form or via e-mail to administration@urbanprairie.org.

All Grades

  • Illinois State Health Examination Form – Due by September 30, 2017

o   To ensure we are in compliance with State regulations, we are requesting an immunization form or waiver for each student.  The form may have been completed during any doctor office visit during the last 12 months up to September 29, 2017.

  • Allergy and / or Food Intolerance Forms – Due September 1, 2017

o   If your child has any physician-diagnosed food allergy, please have your physician’s office complete our Allergy Form.

o   If you child has a known intolerance to a food (i.e. they are not allergic to gluten but choose to be gluten free due to the physical or mental effects on their body), please complete the Food Intolerance Form.


1st Grade

  • Eye examination form due by September 30, 2017

2nd Grade

  • Eye examination form due by September 30, 2017 (unless already on file with  the school from 1st grade)
  • Dental examination form due by May 1, 2018

3rd, 4th & 5th Grade

  • No other reports are due to the State, but you may be contacted by Administration to complete an eye examination report or dental report if your child does not have one on file.

6th Grade

  • Dental examination form due by May 1, 2018
  • Eye examination form due by May 1, 2018 (if you do not have one on file with the school at this time)

7th Grade

  • No other reports are due to the State, but you may be contacted by Administration to complete an eye examination report or dental report if your child does not have one on file.

8th Grade

  • No other reports are due to the State, but you may be contacted by Administration to complete an Eye examination report or Dental report if your child does not have one on file.
Prescription Medications and EpiPens

If your child has a prescription medication such as an inhaler or EpiPen that should be with them at school, please make sure their class teacher has this in a plastic bag with their name on it. If you sent in medications last year they are most likely expired.

Aftercare and Aftercare Contract

Don’t forget Thursday is early pickup day! If you child will need to stay after 2:30 pm on Thursday please fill out an aftercare contract. Aftercare is available every day after school.

The contract rate for aftercare is $8.00 per hour and the drop in rate is $12.00 per hour.  The contract can be changed or cancelled at anytime. Please fill out the Aftercare_contract_2017-18 and return it to administration for annual discounted rate.

Any child who is at school after dismissal (3:40 p.m., 2:35 p.m. on Thursday) will be sent to aftercare and the family will be billed in 15 minute increments until the child is picked up.

UPWS will provide children with a snack during aftercare.  The contract, questions, and / or any last minute, day of aftercare requests can be sent to aftercare@urbanprairie.org

With SEW Much Gratitude

A belated thank you to those who came out to help us “Fill and Chill” and get the beanbags and lavender pillows ready for the incoming students. Thank you to Claudia Berg with Alexis (2nd) and Ryan (City Garden); Charles Blair with Iain (3rd) and Hugh (1st); Jane Sheehan; Beth Houle with Vivienne Pope (5th); Alison Welch with Sophie (5th); and Briana Villarrubia with Joshua (4th). And a special shout out to Sarah Steedman, mom to Charlotte (4th) and Elliot (8th), for single-handedly ensuring all incoming students had beautiful, new crayon rolls while on vacation in Maine. Parking is always a challenge around the school and we appreciate your understanding as we do our best to accommodate the needs of our community.

Parking During School Functions

During any major event we will have zone 5 parking restrictions waived on Lytle, Cabrini, and Lexington. If you do get a ticket during a school event while parked in zone 5 on one of these streets, please write your name on it, and turn it in to the front office for it to be removed from the record.

Quick Stops

If you are dropping by for a few minutes, be sure you have an UPWS Visitor Parking print out on you dash and park as close as possible to the school.

Longer Visits

If you are at the school for a longer visit when parking is not waived, you may request a daily parking pass. We have a very limited number of these passes and cannot guarantee one will be available.
